Ashland Kentucky Pride Meeting Minutes

Attending: Holly (she/her), Desire’ (she/her), Sean (he/him), Lu (she/her), Jenee (she/her), Taz (she/her), Elliot (he/they), Heather (she/her)

Absent: Sophie (they/them, she/her), Kasheena (she/her)

The meeting was called to order by Holly (President) at 2:00 pm.

Holly made a motion to accept the meeting minutes for the months of October and November. Elliott seconded. Motion approved.

Holly made a motion to receive the treasurer’s report for the months of October and November. Elliott seconded. Motion approved.

Treasurer's report: Paypal: $3891.52 • People’s: $2,793.91 (+300.38 in old account)

Old Business:

Fundraising/Sponsorship requests
- Share donation post for giving Tuesday
  - Thank You card for those who donated. Bring cards to board member meeting to be signed. Elliot will be making the cards.
- JustFund Grant
  - Will be reopened this year
  - What do we want to apply for? Project based grant. Previously applied for safe zone training.
    - Possibly use it for the Picnic if its acceptable
- Community Grant in spring (February). Twice a year. Project based. Possibly partner with AFC for sensory cube. Holly is working with AFC on this and will keep us in the loop.
Y’all Means All
- QR code sticker.
- Mixer idea
- Set a committee meeting for YMAl before January Board meeting
- Get together on discord
Safe Zone Training
- Set a committee meeting before January Board meeting
Community Survey
- Someone needs to repost once a month
Pride Picnic - venue/date change
- Keep it at the riverfront, move it to May
- Holly will lock in the riverfront for May 17th, 24th as backup
Found Family planning - December
- Brontë:
  - What is the budget?
    - No more than $300, If you need more, run it by the board
  - Date, time, and location
    - Location : Midland Branch
    - Date/Time: December 29th (no other available days in December), 4-8pm
      - more set up time - room reserved 2-8 (Heather, follow up on time)
  - Theme - PJ party, wintery, cozy af vibes, not specifically holiday
    - Floor cushions and blankets, make a hangout corner in the floor (Des and Holly)
    - Read a book or tell a story around the fireplace (Sean)
    - Hot chocolate bar
      - Good ass mexican hot chocolate
  - Cookie Decorating - need a quote
    - No Cost, Taylor would like to donate the cookies
    - Just needs to know how many cookies, also provide icing
  - Making ornaments to take home
    - Blank wooden ornaments and paints
  - Have a slide show of our year on the TV to festive music
    - Several loved this idea. Everyone should get photos to Brontë asap

New Business:

Coalition with KPU and AFC
- January 4th Event - New Year, Same Fight
  - Group event to promote community and safety in the next 4 yrs
  - KPU/Elliot will be asking for volunteers to create a phone tree to spread information quickly in case of emergencies
    - Aslo taking volunteers for safe houses
  - Begining stages
    - What do we want to do
    - Whats the budget - between all 3 orgs
    - Venue - Boyd Co Convention Center
- All 3 orgs want to rent a space together for a community center - details pending
  - Meeting space, trans closet, resource center
  - Could possibly use project grants
Expectations for the Board Meeting in January
- Desiré’s Presentation - foundational org documents
  - Figure out what we need, what can be cut, what needs edited
- Sean’s presentation - Board Operations 101
  - Documents we already have and proposed new documents
  - Go through bylaws - Everyone should look over bylaws before meeting
  - Clean up documents
- Storage Unit and Inventory
- Meet at Holly’s at 1:30pm
