Ashland Kentucky Pride Meeting Minutes

Attending: Holly (she/her), Desire’ (she/her), Lu (she/her), Elliot (he/they), Kasheena (she/her), Jenee (she/her)

Absent: Sean (he/him), Sophie (they/them, she/her)

The meeting was called to order by Holly (President) at 1:45 pm.

Holly made a motion to accept the meeting minutes for the May meeting. Lu seconded the motion. Motion approved.

Holly made a motion to receive the treasurer’s report for the month of May. Des seconded. Motion approved.

Treasure’s report: Paypal: $1,799.11 • People’s: $3,219.66

Vote on security contract. Contract can be reviewed via facebook or leadership chat. Holly made a motion to vote on the contract. Des seconded the motion. All voted in favor of the security contract.

Vote on paying for additional security and first aid training for AKP members at $100/person. Holly made a motion to vote on spending $500 for this service. Des seconded the motion. All voted in favor.

Old Business:

Y’all Means All
- Table at picnic
- Sign people up and take pictures. Give sticker after safezone training
Safe Zone Training
- Set up dates for training for Yall means all businesses
Fundraising/Sponsorship requests
- Amazon donated lots of stuff for first aid tent
- Lu will send followup emails to other places that havent gotten back to her
- Make a facebook post about sponsorship levels
Pride month activities
- Pride beer and trivia night/Art show
  - Have to find out when the beer will be ready to set a date
  - Bronte will follow up
- Queer-aoke at the Mill
  - Still waiting on Mikal to set a date
  - May have to do our own karaoke
  - Check to see if Makial has a licesnse
  - Look into bellafonte as a backup
- Tattoo event
  - June 23rd
  - 2-10pm
  - Possibly have vendors
  - Block party feel (lawn games, food trucks, entertainment)
- Art and craft event
  - June 8th, 4-7 pm
  - Check with Des about what she found and then place order
Pride Picnic
- Should we have voter registration at the picnic?
  - Incorporate into pride table/yall means all
- Incorporating the rally into the picnic
  - Haven't found any speakers yet
  - Maybe have Sean do an inspirational speech
  - Talk to people about legislation being passed and the importance of voting
  - QR code scavenger hunt. Each QR code has different info. History points, culture references, interaction with vendors,
    - Give out passports at the front table. Stamps from vendors, fill the card with stamps, and get a prize
    - Each code goes to a video/link
  - Pass out bracelets and have conversations with people about community and involvement in our org, not just the picnic
    - Ideas for bracelet message
      - Throw the brick
      - What Would Marsha P Johnson Do?
- Vendor update
  - Heather needs list of people who have paid
  - Heather is taking on Food trucks as well
- Still need someone in charge of first aid tent
  - Des and Brandon will work first aid tent
- Make posts about safety and how to handle protestors and the importance of not engaging. Educating people about security presence
- Sign making/photo booth table
- New month for picnic starting in 2025
  - July too hot
  - Possibly use indoor venue and stay in July
    - Boyd Co convention center
      - May not allow outside security
      - Vendors have to charge tax
  - If we stay outdoors - April/may or Sept/oct

New Business:

Kentucky Black Pride Festival
- Do we want to table this event?
  - Yes we do!
  - Need to fill out form
  - Kasheena will take lead on this event
- Sept. 13-15, Lexington Ky (Table on 14th)
Need to organize inventory
- Possibly move to our own storage unit
  - Start getting quotes
- Implement an inventory management system
  - Square has inventory management
  - Air Table or spreadsheet would be more flexible
  - Need a check in/check out system
